How to manage leads from your Facebook and LinkedIn lead ads

To manage leads from your Facebook and LinkedIn lead ads with Blackbox (blackbox.plus), click Leads in the left menu. Blackbox checks the lead forms on your connected Meta and LinkedIn accounts every ten minutes, including forms you made before you joined, and every submission lands in the Queue. The Queue groups leads by when their next step is due, Overdue first. Each row has a status, an owner, a next step date and fit badges such as Work email or Matches your buyer. Click a row to open the lead sheet with the contact details, every answer from the form, where the lead came from, the status history and notes from your team. Switch to Board and drag a card to change its status. Set a next step and the follow-up shows on the brand in Plan. The brand’s members get one email when new leads arrive. Click Export CSV to hand the list over. It is a worklist, not a CRM.

How to manage leads from your Facebook and LinkedIn lead ads in Blackbox

  1. Step 1:Open Leads

Click Leads in the left menu.

You'll see: The Queue, with a number beside Leads for new leads and follow-ups due.

    Open this in Blackbox
  2. Step 2:Read the queue

Work from the top: leads are grouped by when the next step is due, from Overdue and Today down to No next step. The Fit badges say why a lead looks worth a call; hover +2 for the rest.

You'll see: Groups such as Overdue and Today, each with its leads and their Status, Owner and Next step.

  3. Step 3:Work a lead in the sheet

Click a lead’s row, set Status and Owner, then type what happened under Notes and click Add note.

You'll see: The sheet, with the status history, each note with its author and time, and Came from naming the campaign, ad set and ad.

  4. Step 4:Move it on the board

Click Board, then drag a lead’s card to the next column.

You'll see: The card under its new status, with the column counts updated.

  5. Step 5:Set the next step

Open a lead and click In 3 days, or pick a date under Next step. After a call, click Done, follow up again in.

You'll see: The date on the lead, and Overdue on it once the day has passed.

  6. Step 6:See the follow-up in Plan

Click Plan in the left menu, pick the brand and click the day the next step is due.

You'll see: Follow up and the lead’s name in the day’s panel, which opens the lead.

    Open this in Blackbox
  7. Step 7:Export or hand over

Click Export CSV, or set Owner on a lead to give it to a teammate.

You'll see: A file named leads- and the date, with one row per lead.

    Open this in Blackbox

Good to know

  • Blackbox checks the lead forms on your Meta and LinkedIn accounts every ten minutes, including forms made before Blackbox. It needs the Page permission on Meta to read them.
  • A lead has one of five statuses: New, Contacted, Qualified, Won or Lost. Won and Lost leads are never overdue.
  • Fit badges are plain rules, not a score. Every lead stays in the list, and the badges only order and explain.
  • The brand’s members get one email each time new leads arrive, never one per lead. A brand with no members emails the workspace admins.
  • Leads belong to the brand. If you move a brand to another workspace, its leads go with it.
  • This is a worklist, not a CRM: no deals, pipelines or custom fields, on purpose. Export CSV hands the list to whatever you use for that.

If something doesn't work

A lead I expect is missing

Forms are read every ten minutes, so a very new sign-up may be a few minutes away. Blackbox also needs the Page permission on Meta: reconnect Meta from the Data page if you declined it.

What do the fit badges mean?

They are reasons a lead looks worth a call, such as Work email, Phone given, Company and title, or Matches your buyer, which compares the lead with your strategy’s buyer. They never hide a lead.

Who gets the email about new leads?

Everyone on the brand, once per check, with the names and a link to Leads. If nobody is on the brand, the workspace admins get it.

Can I add my own fields or stages?

No, by design. A lead has a status, an owner, a next step and notes from each person, and every answer from the form. For more than that, click Export CSV and use a CRM.

I moved a brand to another workspace and its leads went with it

That is right. Leads belong to the brand, so they follow it, with their notes and next steps.
